A Meeting Practice Reminder (written by Les Hanson) South Bay Toastmasters Club 280 has a policy and practice that Trophy presenters are limited to members of the Club. Guests are not prepared to know how to present trophies. Members shall be given the opportunity to practice Presenting and Receiving Awards. Each Presenter should deliver a hot seat speech that shall include a Definition of the Award, What the Award is, Why the award is significant, and express the honor of presenting the Award. Each Award presentation should take on the character of being a Ceremony, brief, but Ceremonial. The exception to the Club Policy and Practice would be a visiting Toastmaster Dignitary, e.g., Division Level, Area Level or other Level. At Club 280 our Awards are not just given, we practice PRESENTING and RECEIVING AWARDS, Graciously. The Receiver should also give a brief but genuinely grateful speech for the Honor of Receiving the Award. When you want to use the Club's electronic devices When you need the projector for your speech or you want your speech recorded, please advise Stuart if you want to the camera and Angela if you want to use the projector. (see your roster for contact information) beforehand. Also, you will need to decide how you want your speech recorded. The easiest and fastest is to use a mini DVD. You may provide your own or let Yan know you want to use one of the disks the club has available. However, many have preferred to store their speeches on their own memory sticks. Refer to the notes under New Camera immediately below. New Camera In addition to our InFocus projector, the Club now owns a Hitachi digital/miniDVD video camera. The camera can record on either a 9 gigabit hard drive that has a 3 hour capacity in "fine" mode or to a mini-DVD. The hard drive downloads to a computer with the installed software. The file can be easily converted to the common formats that are used with the various popular video viewers (e.g., Quick Time, Windows Media Viewer, etc.). The conversion program can also put your speech on a normal size DVD. We also have a tripod and a case to protect the camera. We bought a 4 year extended warranty for the camera that covers any damage from spilled liquids or food, banging or dropping and any other failure that may occur. About the only thing it doesn't cover is theft.
If you intend to take advantage of the camera to record your prepared speech, please bring your own memory stick or mini-DVD. We have a few 30 minute mini-DVDs that you may purchase for $3 each (our cost), payable to the treasurer. Be advised that to use the mini-DVD on another devise the disk must be finalized on the camera. Usually, finalization means that you can no longer record on the disk. However, the camera has the ability to un-finalize the disk and continue recording until the disk capacity is used up. Is that great?!
